These terms apply when you buy anything from Staffshots. They are written to be read, not to be survived — if something here is unclear, write to hello@staffshots.com and we will explain it and fix the wording.

What we sell
You upload one photo of yourself, or a team owner uploads one the company took of you with your agreement. We generate professional headshots from it in the style you choose, and show every one that passes our quality checks as a free, watermarked preview.
You only pay once you have seen the results.
- A single image — $19. One headshot you pick, full resolution, no watermark.
- The full set — $29. Every headshot from that photo that passed our checks, with square crops for the web and profiles, a circular avatar, an email signature size, and a transparent PNG with the background removed.
- Team credits — a prepaid balance for a company. One credit unlocks one person's full set.
- Extra regenerations — you get a couple of free regenerations per photo. Beyond that you can buy more. A set a team owner started from a company photo is not regenerated; the owner uploads the photo again instead.
- Your own background — an optional extra, $5, if you want your headshots to sit on a specific wall, office or brand colour rather than the one the look comes with. Charged once per order, not per image, and included at no extra cost when a team credit pays for the set.
What you may do with your headshots
They are yours. They are pictures of you, made from your photo, and we do not keep any rights over them.
Use them anywhere, personally or commercially, for as long as you like. No attribution, no per-use fee, no expiry. The only thing you may not do is sell the images on as stock photography or pass them off as headshots you produced for someone else.
Prices and tax
Prices are shown in the currency for your location. In the EU the price you see includes VAT. Elsewhere, tax is added at checkout if it applies.
What you are actually charged in tax is worked out from the billing address you give at checkout.
If you use a discount code, tax is worked out on what you actually pay, not on the price before the discount. The figure shown at checkout is the figure charged.
Team credits get cheaper the more you buy. The price per credit falls at each volume band, and the bands are shown on the teams page. Two things follow, and both are in your favour:
- You will never pay more by buying more. If a larger quantity would cost you less, you are charged the lower amount.
- When that happens you get the larger quantity too. Ask for 99 credits at a point where 100 costs less, and you are charged for 100 and receive 100. We do not charge the higher price and hand over fewer credits.
Buying as a company? Enter your VAT number on the payment page. If you are an EU business outside Sweden, the sale is then reverse-charged and your invoice shows both VAT numbers.
Paying by invoice
For 25 credits or more, a team can pay by invoice instead of by card. The invoice is emailed to the team owner who asks for it, is due in 14 days, and can be paid by bank transfer.
The credits arrive when the payment does, not when the invoice is sent. An owner can withdraw an unpaid invoice from the team page; it is then marked void rather than deleted, because numbered invoices are kept.
Tax works as it does at checkout: it is worked out from the billing address on the invoice, and an EU business outside Sweden that gives its VAT number is reverse charged.
Changing your mind
If you are a consumer in the EU, you normally have 14 days to change your mind about something bought online, for any reason or none.
Digital files are different, and here is exactly how. Before you pay, we ask you to tick a box — and what it says depends on what you are buying, because the three things we sell are not delivered the same way.
Buying headshots:
I want my headshots straight away, and I understand that I lose my 14-day right to change my mind once the download begins.
Buying regenerations:
I want to be able to use these regenerations straight away. I understand that a regeneration is delivered the moment I start it and cannot be refunded afterwards, and that I keep my 14-day right to a refund for any I have not used.
Buying team credits:
I want the team to be able to use these credits straight away. I understand that a credit is spent the moment somebody unlocks their headshots with it and cannot be refunded afterwards, and that we keep our 14-day right to a refund for any credits still unused.
For headshots, ticking it is what lets us hand over the files straight away, and it ends the 14-day right for that purchase because you have received them and we cannot take them back.
For credits it claims much less, and deliberately so — see below.
If you would rather keep the 14 days, do not tick it — but then we cannot release your files immediately, so in practice the choice is: files now, or the right to change your mind. We would rather say that plainly than bury it.
Prepaid credits are different. Buying credits delivers nothing — it is a balance, and nothing is supplied until a credit is spent. So the 14-day right ends for each credit at the moment it is *used*, not at the moment you paid.
In practice: unused team credits can be refunded within 14 days of buying them, at the price you paid. A team owner does it from the team page, and the money goes back the way it was paid. Credits already spent on headshots or regenerations have been delivered and cannot be.
We could have asked you to sign the whole balance away at purchase. We do not, because it would not be true: nothing has been delivered against a credit nobody has used.
Keeping your headshots
Headshots you buy are kept for as long as your account exists. Sign in and download them again whenever you like — there is no deadline.
You can delete a single set or your whole account from your account page at any time.
One backstop: if nobody signs in to your account for two years, we delete your headshots and email you before we do. The photo you uploaded is still deleted after 30 days, whether or not you buy anything.
If something goes wrong
Ticking the box above does not sign away your rights when a product is faulty. It never could.
Tell us at hello@staffshots.com and we will put it right. Specifically:
- Generation failed and produced nothing — you are not charged. If you were, we refund it without being asked.
- The download is broken — we fix it, or refund you.
- Your files were deleted before you could get them — we regenerate at our cost, or refund you.
- Every image was rejected by our quality checks — you are not charged. The product did not deliver.
"I do not like them" is not a fault, and we are not going to pretend otherwise. That is what the free watermarked previews are for: you see every result before paying anything, and you get a couple of free regenerations per photo if the first attempt is not right.

Refunds
Beyond anything the law requires, we would rather refund you than argue with you.
If you are unhappy with what you got, write to hello@staffshots.com and ask. In almost every case you will get your money back and you can keep the images. We would rather lose a sale than have a customer feel they were stuck with something.
The one thing we will not do is keep refunding the same person while they keep buying. If that pattern appears we will close the account, and we will tell the person why.
Refunds go back to the card or method you paid with, usually within a few working days once we have processed them.
Discount codes
If you have a code, enter it at checkout and the new total is shown before you pay. What you see there is what is charged.
- One code per order. Codes do not stack.
- A code may be limited — to a number of uses, to one use per customer, to a date range, to certain products, or to orders above a minimum. If it does not apply, checkout says so before you pay rather than after.
- A discount never makes a total negative. A code worth more than the order simply brings it to zero.
- If a discount brings the total to zero, there is nothing to pay and no card is charged. You still get an order confirmation, and everything else about the order works the same way.
- Codes have no cash value and cannot be exchanged for money or credits.
- We can withdraw a code at any time, but never retroactively: an order already placed with a code keeps the price it was given.
Your rights above are unaffected by using a code. A discounted order can be refunded on the same terms as any other, and what comes back is what you paid.
Your credits
- Credits do not expire. There is no time limit and we are not going to add one to credits you have already bought.
- You may be given more credits than you asked for. Where a larger quantity costs less, we charge the lower amount and give you that quantity — so asking for 99 can leave you with 100. The extra is yours on the same terms as the rest.
- Team credits belong to the team, not to whoever paid for them. They stay with the team when someone leaves.
- Regeneration credits belong to you and follow your account.
- Credits cannot be transferred between accounts or teams, and have no cash value except through a refund as described above.
If you are buying for a company
The 14-day right to change your mind is a consumer right, so it does not apply to a business purchase as a matter of law. We apply two parts of it to companies anyway: unused team credits can be refunded within 14 days of buying them, from the team page, and everything else on this page applies to companies exactly as it does to individuals, including how we handle faults and our position on refunds.
Complaints
Write to hello@staffshots.com first. We read it and we answer.
If we cannot sort it out between us and you are a consumer in Sweden, you can take the matter to Allmänna reklamationsnämnden (ARN), box 174, 101 23 Stockholm, arn.se. ARN handles consumer disputes free of charge, though it does set a minimum value for the claims it will consider. If you are a consumer elsewhere in the EU, your own country's consumer body or the European Consumer Centre can help.
Changes to these terms
We may update this page. Whatever version was live when you bought something is the version that applies to that purchase — a later change cannot alter a purchase you already made.
